Adobe Acrobat Connect Pro – Getting Started Guide and Capabilities for ACOR Meetings

  • Joining a meeting
    • You will receive an invitation via email that will include a link to the meeting.
    • This invitation will be sent at least 1 day prior to the meeting.
    • Please enter the meeting at least 15 minutes prior to the meeting’s start time. Please do not exit and re-enter. If you are having technical difficulties please use the chat pod and we will address it ASAP.
    • All computers used to access Acrobat Connect Pro will need “Flash” on their computer. (http://get.adobe.com/flashplayer/?promoid=BUIGP) This is a free download required to launch the software. It only takes a minute to download.
    • This program can be used from any computer. If someone is unable to attend the ACOR meeting in person, they are able to connect using their own computer.  

 

  • Your Role
    • Your role will be set as a participant.
    • You will have access to Q&A chat and file sharing.
    • Each section of the meeting room is called a pod.
    • You will have access to full screen mode when viewing the handout attachments.
      • At the bottom of the handout you will see the option to change to full- screen mode. Once you click on this icon, you will be viewing the document in full screen. To switch it back, the icon will be in the same place.

 

  • Sound
    • Connect Pro uses VOIP audio.
    • Please let OSP know if the computer or room you’re using does not have VOIP. Special teleconference arrangements will need to be made and integrated into the meeting room.
    • Run the audio setup wizard.
      • Under meeting scroll over manage my settings, and then click “audio setup wizard”. You will want no microphones selected when you get to that portion of the wizard. Before clicking finish, click “advanced settings”. Make sure the “use enhanced audio” option is selected as well as the “auto sense acoustic echo cancellation mode”.
        • The wording my vary using different machines or versions of flash.
      • If at any point you experience any audio difficulties, please try running this setup wizard again.

 

  • Sharing your Camera (No longer applies unless presenting via Adobe Connect)
    • OSP has decided to no longer share any cameras during the ACOR meeting aside from those who are presenting. If you will be presenting and will not be attending the physical meeting room, please contact Lindsay Holyfield (lhh10) at least 2 days prior to the meeting.
    • If you’re joining from a meeting room with a camera, you will need to locate the Camera pod on your screen. In the lower left hand corner of that pod you will see a mini camera and microphone icon. Once you click this icon, your camera should begin broadcasting.
      • Troubleshooting: We’ve found that sometimes unplugging the camera and plugging it back in will help if your camera is not broadcasting right away.
    • If you’re joining from your computer, you will need to plug in a webcam (if it’s not built in already) and follow the steps above to begin broadcasting.
    • If at any time we switch between screens and your camera does not stay connected, you may need to repeat the steps to begin broadcasting.

 

  • Questions
    • Each screen used during the meeting will have a Q&A chat pod. Any questions submitted into this box will not be broadcasted into the meeting but to the person hosting the meeting.
    • Please state where you’re from when typing in this pod
      • ie:  Am I able to view the slides full screen? (ARL)
    • It is up to the presenter to reply to only you or to reply to the meeting as a whole and show your question if it will benefit the group.
  • File Sharing
    • It’s possible that the handouts and agendas will be available via a file share pod.
    • This pod allows you to choose from a list of documents previously downloaded into the meeting and save them onto your computer should you choose to do so.
  • Recordings
    • Each meeting will be recorded.
    • These recordings will be given a url link that can be accessed after the meeting. This url can be found on the ACOR website. Please allow at least two weeks for OSP to get this video posted to the website.
